How to Build a WhatsApp Chatbot Without Coding (Step-by-Step)

What a WhatsApp chatbot can do for you

Step 1: Pick one clear goal

The best chatbots do one job really well. Choose your first goal:

  • Answer FAQs – timings, prices, location, delivery.
  • Capture leads – ask name, need and budget, then alert your sales team.
  • Book appointments – show available options and confirm.
  • Support orders – order status, returns and complaints.

Step 2: List the top questions

Look at your last 50–100 chats and write down the questions people ask most. Usually 8–10 questions cover most chats. These become your chatbot’s menu.

Step 3: Draw the flow on paper

Before you build, sketch the conversation:

  1. Welcome – greet and show a short menu.
  2. Menu options – 3 to 5 buttons or a list, like Prices, Book a visit, Location, Talk to us.
  3. Answers – short replies, each ending with a next step.
  4. Handover – always offer “Talk to a person”.

Step 4: Use buttons and lists

WhatsApp supports reply buttons (up to 3) and list menus (up to 10 options). Buttons make it easy to reply with one tap and keep conversations on track.

Step 5: Write replies like a human

  • Keep each reply short – 2 to 4 lines.
  • Use the customer’s name when you have it.
  • End every reply with a clear next step or button.
  • Use simple words and one or two emojis at most.

Step 6: Add keywords and AI

Customers often type instead of tapping buttons. Add keyword triggers like “price”, “timing” and “location” so the bot replies correctly. On plans with AI, an AI chatbot can answer free-text questions using your business information – and still hand over to your team when needed.

Step 7: Plan the human handover

A chatbot should never trap customers. Add a “Talk to us” option everywhere, and assign those chats to the right team member in your shared inbox. Tell customers when someone will reply, especially outside working hours.

Step 8: Test and improve

  1. Test every path from your own phone.
  2. Ask a friend to try it without instructions.
  3. Check which options people choose and where they drop off.
  4. Improve your replies every week.
