Why WhatsApp Templates Get Rejected – and How to Fix Them
The most common reasons Meta rejects WhatsApp message templates, with before-and-after examples and a checklist to get approved faster.
Why templates need approval
On the WhatsApp Business API, any message you send to start a conversation must use a message template approved by Meta. The review protects customers from spam and scams. Most templates are approved quickly, but a small mistake can lead to a rejection – or to Meta changing the category of your template.
The 10 most common reasons for rejection
1. Variables in the wrong place
Templates can’t start or end with a variable like {{1}}, and variables shouldn’t sit next to each other without text in between. Add words around them.
❌ Rejected: {{1}} {{2}}
✅ Better: Hi {{1}}, your order {{2}} has been shipped.
2. Too many variables, too little text
If a template is mostly variables, Meta can’t tell what it will say. Keep enough fixed text to show the purpose.
3. Missing sample values
When you submit, add realistic sample values for each variable (for example “Rahul” and “#1024”), so reviewers understand the message.
4. Wrong category
If a “Utility” template includes an offer, discount or promotion, it will be rejected or moved to Marketing. Keep order updates free of promotions.

Many spelling mistakes, broken formatting or random symbols look like spam. Proofread before you submit.
6. Threatening or pushy language
Messages that threaten penalties or pressure customers aggressively are often rejected. Be polite and clear.
7. Asking for sensitive information
Never ask for full card numbers, passwords, OTPs or other sensitive personal data in a template.
8. Content against WhatsApp policies
Products and services that WhatsApp’s Commerce and Business policies don’t allow will be rejected, no matter how the template is written.
9. Broken or shortened links
Use working links on your own domain. Link shorteners and suspicious URLs can lead to rejection.
10. Duplicate templates
A template with the same content as an existing one in the same language may be rejected. Edit the existing one or change the wording.
Before and after: fixing real templates
❌ Before: “URGENT!!! Pay now or your account will be BLOCKED!!!”
✅ After: “Hi {{1}}, a friendly reminder that your payment of ₹{{2}} is due on {{3}}. Reply if you need any help.”
❌ Before (Utility): “Your order {{1}} is shipped! Use code SAVE20 for 20% off your next order.”
✅ After (Utility): “Hi {{1}}, your order {{2}} has been shipped and will reach you by {{3}}.” – send the offer later as a separate Marketing template.
Checklist before you submit
- Clear purpose in the first line.
- Variables surrounded by text, with sample values added.
- Right category: Marketing for promotions, Utility for updates, Authentication for OTPs.
- No spelling mistakes, no ALL CAPS, not too many emojis.
- No requests for passwords, OTPs or card numbers.
- Working links on your own domain.
- An opt-out line for marketing messages.
What if Meta changes your template’s category?
Meta may review approved templates and move them to another category if the content fits it better – most often from Utility to Marketing. This changes the price per message. To keep a template as Utility, remove promotional content and keep it about a transaction the customer already started.
